Privacy notice

Fleet Service and Repairs (FSR) is the data controller for personal information used to run the workshop. This notice explains how we use information about customers, fleet contacts and drivers. It is not a substitute for legal advice.

What we keep

Fleet and customer names, phone numbers, email addresses, vehicle registrations, make and model, mileage, MOT dates, service history, job notes, invoices, driver names, daily check answers, vehicle photographs from walk-rounds, and a copy of emails logged against an account.

Why we keep it

  • To book, carry out and invoice work (contract).
  • To remind you of services and MOTs (legitimate interests).
  • To keep tax and job records we are required to hold (legal obligation).
  • To record driver defects and photographs for safety and repair (legitimate interests / contract).

Who can see it

Only invited FSR staff can open the workshop tool (the app). Drivers use a separate checks page and a workshop PIN. Our hosting and sign-in providers process data on our behalf so the service can run. We do not sell customer lists.

How long we keep it

Invoices are kept for six years for tax purposes. Job and email records are kept while the account is active and for a limited period afterwards. Driver-check photographs can be removed from a report once the defect is closed, and staff can delete a walk-round entirely.

Your rights

You can ask for a copy of the data we hold about you, ask us to correct it, or ask us to delete it where the law allows. Staff can export or remove a fleet account from the workshop tool. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Contact

Contact Fleet Service and Repairs through this website, or speak to the workshop owner. Our website is fsrgarage.co.uk. The data-protection contact email is held in the workshop tool.
